Inspire Technologies optimizes workflow management at Sixt

Sixt, one of the world's leading providers of mobility services, does not only provide its customers with premium vehicles, but also premium services which are characterized by a high degree of customer benefit. With a presence in more than 100 countries and around 5100 employees, the German market leader recorded sales of 2.2 billion Euros in the 2015 financial year. This success is based on high service quality, consistent customer orientation, innovations in the field of mobility and international orientation. Smooth running of internal company processes is therefore a must for the industry leader. In order to generate this, Sixt relies on comprehensive workflow management based on the MR.KNOW – BPM (formerly BPM inspire) Business Process Management (BPM) software.

Goodbye to isolated solutions: "We made the right decision"

In 2013, an outdated software solution prompted the company to manage its internal process landscape on a modular basis using a new BPM system. Various systems were put through their paces as part of a multi-stage selection process. The final decision was made in favour of the BPM software from Inspire Technologies . "Among other things, the decisive factors were the flexibility of the system, independent development options and the usability of the latest web standards," explains Michael Schwarz, who is responsible for workflow management at Sixt. "We made the right decision, and would buy MR.KNOW – BPM (formerly BPM inspire) again and again." Thanks to the support from Inspire Technologies, the company can therefore rely on optimally functioning workflow management. From order processes to invoice and incoming mail processing to requisition processes - multi-layered and complex business processes are automated, controlled in a central location and monitored.

Sixt is now no longer reliant on manual activities for release and approval processes, such as the ones which are required for orders. The automation of business processes and support for employees is now also taking place here on the basis of MR.KNOW – BPM (formerly BPM inspire). The solution known as "Signature" has been designed as a basis for all processes that require a signature authorisation. This currently applies to the previously mentioned ordering area. "The solution will also be used for invoices and contract signing in future", explains Schwarz. Once individual authorised signatories have been recorded and authorised by means of an approval process, an automatic data archiving process will come into effect. An overview of the respective authorised signatories from the different company areas also provides transparency about existing regulations. This includes their specimen signature as well as an overview of the respective signing authority(ies), proxies and powers of attorney as well as the history of the employee concerned regarding authorisations in the form of a human resource file.

The individual process steps run automatically within the system. Assigned roles also ensure that the respective authorized person (managing director, board member or caregivers) is given the rights to which he or she is entitled for editing the regulations which have been created. As well as the right to view signatures, this also applies to the right to create, approve/reject and update them. "By relocating the data into our system, we do not only save time and money, but it is also more transparent and easier to evaluate", reports Schwarz. 150 to 200 employees have benefited from the new solution in Germany to date. It will be used throughout the company in the future.

With MR.KNOW – BPM (formerly BPM inspire) from Inspire Technologies, Sixt now has a modern BPM platform for automating business processes and for further digitalization of the company. There are many possibilities, and applications which were previously isolated can be implemented in a process-encompassing manner with numerous solution templates from the MR.KNOW partners.
