PROSERV!CE Dienstleistungsgesellschaft mbh, a specialist in creditor and asset accounting for the financial services industry and subsidiary of Sparkassen Dienstleistung Rheinland GmbH & Co KG deals with the entire processing of incoming invoices for its clients using the Business Process Management (BPM) software MR.KNOW – BPM (formerly BPM inspire). PROSERV!CE provides its customers with a digital invoicing service based on MR.KNOW – BPM which makes electronic archiving and usage research possible at the push of a button. All processes are initiated, controlled and monitored centrally, meaning that each individual procedure can be tracked in real time.

Up to now, invoice recording at PROSERV!CE was restricted exclusively to manual recording activities. Invoice processing was very time-consuming due to the low level of process automation. Long processing and transport times, limited control options in the invoicing run, decentralised document archives and the constantly increasing order volume of the more than 40 savings banks and affiliated subsidiaries presented PROSERV!CE with the problem of finding an innovative alternative solution. The introduction of MR.KNOW – BPM means that PROSERV!CE clients now benefit from an extremely high level of process automation which significantly streamlines the processing and transport procedures, as well as providing maximum transparency and fast access to all invoicing processes. This makes time-consuming document work a thing of the past. "Thanks to MR.KNOW – BPM, we can now use a single system to handle all of the the steps from converting paper invoices into electronic data to final posting," summarises Norbert Hinseln, Head of Accounting Services at PROSERV!CE. A particular challenge here was integration into the various ERP system environments used by the PROSERV!CE clients. In addition to SAP, MR.KNOW – BPM docks seamlessly with Wilken ERP and models a platform-independent complete process which maps all invoice processing steps from automatic document capture to paperless distribution, further processing and the posting of relevant invoice data, audit-proof storage and payment approval. MR.KNOW – BPM also supports the connection of other systems such as Navision or building society IT interfaces without any problems. Special highlight: Thanks to its tremendous potential in terms of expandability and scalability, the solution can be extended to include a complete purchasing file and an electronic inbox.
