Böllhoff automates the process chain of invoice processing based on MR.KNOW – BPM (formerly BPM inspire) and smartFIX. From the receipt of the documents to approval, posting of the invoice in the M3 merchandise management system and final account reconciliation in the accounting system with Diamant. After presorting and recording the incoming invoices with bpi Scan Magic, the documents are read out with smart FIX and stored in the archive. Then the invoice workflow is opened with MR.KNOW – BPM. The documents are checked against the purchase order data and the goods receipt that has taken place. The automatic check is repeated every night. Automated entry into the M3 merchandise management system then takes place. As well as the incoming paper documents, the electronic invoices from the suppliers are also read in electronically, verified and undergo further processing via the Insiders e-mail connector. The various reports and statistics provide purchasing and management with the daily evaluations which are required for making further decisions.
The flexible invoice processing leads to a noticeable reduction in processing effort at Böllhoff. Throughput times are shortened, and transparency and information capability are ensured at all times. Processes will also become more streamlined and faster thanks to end-to-end electronic invoice processing, since manual mail preparation will also be completely eliminated.
